Now, it’s time to put your plans into action, execute the software rollout, and start using your new ERP system. This is often the most challenging phase, as every step from earlier stages is put to the test.
If you’ve prepared your data for migration and set up the ERP, you’re ready to train your team. Ideally, each employee should participate in at least two training sessions: an initial overview session to introduce the system, and a hands-on session at their workstation where they can complete their first real tasks.
Overview Training Session
It’s important to show every employee how their roles fit into the new ERP system. For example, the person creating a product is laying the foundation for others who will reference that product later. The employee entering a sales order directly impacts production planning. Team members who record production times influence reporting and help the company quote products accurately. Be prepared for some resistance to change. Going Live
Once all employees have received at least an overview of the ERP, it’s time to launch the live version. This step can take anywhere from a few hours to several days, depending on your company’s size and complexity. The process typically begins with system setup, where thorough preparation can save significant time. During data migration, issues can arise - such as incorrect column formats or stray characters in spreadsheets - so attention to detail is crucial. After setup and migration are complete, your ERP is ready for daily use.
Hands-on Training Session
Often, there’s a gap of weeks or even months between the overview training and going live. This is where a second, hands-on session becomes invaluable. These shorter, individualized sessions focus on practical tasks, such as creating a product, generating an invoice, or recording time spent on a process.
Instead of expecting everyone to start using the ERP on the same day, consider a phased rollout. Begin by entering products into the system, followed by quotes or sales orders, and finally work orders and other tasks. It may take several weeks or months for the entire organization to fully adopt the ERP, but reaching this stage is a clear sign of a successful implementation.
